Your phone is a good voice recorder. For a voice note or dictation, there is no need to buy anything else. Its limits show up in meetings.
The iPhone has Voice Memos; Android has a recorder app that changes with the brand. Both now transcribe on recent models. Here is how to set them up, answers to the most common questions, and what to know before putting your phone in the middle of the table.
Recording on iPhone in four gestures
- Open Voice MemosFrom the Home Screen, or Control Centre without unlocking.
- Red buttonRecording starts. It keeps going with the screen locked.
- Pause, then ResumeTap the recording bar to expand it.
- DoneRename the recording right away.
Settings to change once
In Settings, under Voice Memos (under Apps on recent iOS versions):
- Audio quality: "Lossless". Files are larger, speech is clearer, and the transcript is better.
- Location-based naming: off. Otherwise your recordings are named after the address where they were made. For a client meeting, that is one detail too many.
- Clear Deleted. By default, a deleted recording is kept for 30 days. For confidential recordings, choose Immediately.
- iCloud. If Voice Memos is on in iCloud, your recordings are copied to Apple's servers and your other devices. Decide it knowingly.
Transcribing on iPhone
On recent iPhones and current iOS versions, open a recording and tap the transcript icon: the text scrolls during playback. Voice Memos search also finds a recording by a word spoken in it.
The built-in transcript stays basic: no summary, and speakers are not separated. For a clean document, copy the text, or export the audio to a fuller tool, see How to transcribe audio to text.
Edit, enhance, export
- Enhance Recording. In the playback options, this reduces background noise and room echo.
- Skip Silence and speed. Handy to replay a long meeting quickly.
- Trim. Edit Recording, then the trim tool, removes the start or end.
- Export. The Share button sends the file to Files, AirDrop or an email. The format is M4A: most tools accept it, and the free VLC player converts it to MP3 if needed.
Length and storage
Voice Memos sets no practical maximum length: a recording stops when storage runs out. In compressed quality, an hour takes a few dozen megabytes; in "Lossless", several hundred. Before a day of appointments, check free space in Settings, General, Storage.
Watch out. An incoming call can interrupt the recording. For an important meeting, turn on Do Not Disturb or a Focus mode before you start.
On Samsung: Voice Recorder
The app is called Voice Recorder. It is often tucked into the Samsung folder of the apps screen; the quickest way is to type "Recorder" in search. If it is not installed, it is a free download from the Galaxy Store.
- Modes. Depending on the model: Standard for a meeting or a note, Interview which favours the top and bottom mics for two people face to face, and Speech-to-text which transcribes live, over short durations.
- Transcribe with Galaxy AI. Open a recording, tap Transcribe and pick the language. The text is split by speaker.
- Summarise. Summaries require being signed in to a Samsung account, and do not apply to recordings that are too short.
Available features vary by model, region and software version.
On Pixel and other Android phones
Pixels have Google's Recorder app, which transcribes while recording and lets you search the text. Other brands almost always ship their own app. If you install one from the Play Store, prefer those that record without an account and export the file in a standard format.
Moving a recording to your computer
- iPhone to Mac. AirDrop, or nothing at all: with iCloud, Voice Memos on the Mac already shows your recordings.
- iPhone to PC. Share, then Save to Files into a storage service, or email for a short file.
- Android to PC. USB cable: the phone appears as a drive, and recordings sit in a folder such as Recordings, depending on the brand.
The best accessory: an external microphone
For a face-to-face interview, a lavalier mic that plugs into USB-C or Lightning improves the result more than any setting: it brings the microphone within twenty centimetres of the mouth. It does not help in meetings, where you would need one per person.
The limits in meetings
- The microphone aims at your mouth. A phone is designed first for a close voice. At one end of the table, it picks up its neighbour well and the person opposite poorly.
- A phone is still a phone. Calls, notifications, and a battery that drains over a day of appointments.
- It sends a signal. A phone in front of you, screen on, reads as a distraction, even when all it does is record.
- Your data gets mixed. Client meetings, family photos and personal messages end up on the same device and often in the same backup.
- A transcript is not minutes. You get raw text. Turning it into decisions and actions is still up to you, see Meeting minutes: what to include.
Five settings before a meeting
- Turn on Do Not Disturb or a Focus mode.
- Put the phone in the middle of the table, bottom microphone facing the speakers, on a surface that does not vibrate.
- Make a ten-second test and listen back.
- Tell participants before you start recording.
- Rename the file as soon as it ends, with the date and topic: in a week, "New Recording 14" will mean nothing.
Recording a call
Voice Memos does not capture an ongoing call: the microphone is reserved for the call. On iPhone, call recording is a separate feature that notifies the other party automatically where it is available; French law requires that they know anyway. See Recording a phone call in France: is it legal?
When to move to a dedicated device
- You record less than one meeting a week?yes : Your phone is enough.
- The raw transcript is enough for you?yes : Your phone is enough.
- Your appointments are confidential and your phone backs up to the cloud?yes : Turn off Voice Memos backup, or separate uses with a dedicated device.
- The minutes take you longer than the meeting?yes : An AI recorder will write the summary for you.
